Terms and Conditions

Who may use our services

You must be 18 or older to hold an account, buy a package or sign the service agreement. Someone aged 6 to 17 may take the free assessment with a parent or guardian, and a parent or guardian must enrol them, sign for them and be reachable during sessions. Partner training is for any two adults at the same address.

Health and safety

Our coaches are fitness professionals, not medical providers. Nothing we say or write is medical advice.

• Tell us honestly about medical conditions, injuries, pain and pregnancy before you start and whenever they change; we plan around what we know.
• Get medical clearance when your doctor, or we, ask for it before training.
• Stop and tell your coach if anything hurts or feels wrong during a session.
• Assisted stretching is hands-on. It happens only within the consent you give in your stretch preferences and the signed service agreement, and you can narrow or withdraw that consent at any time.
• Provide a space that is safe to train in, and tell us about anything there we should know about, including pets and other people who may be present.

Bookings, changes and cancellations

Book, reschedule and cancel from the hub, or by contacting your coach. Please request changes as early as you can — a session slot held for you is a slot no one else can have.

• Same-day changes and missed sessions may count as a used session, depending on the terms of your package in your service agreement.
• If your coach has to move a session — illness, weather, scheduled time off — we will tell you as soon as we can and offer another time; a session we cancel never counts against you.
• Sessions have the length your package states; arriving late does not extend them.

Packages, payments and refunds

Current prices are on the pricing page and in your service agreement. Payments are processed by Stripe; we do not see or store your full card details.

• Packages are prepaid and give you the number of sessions stated, to be used within the period in your service agreement.
• Upgrades and add-ons requested from the hub are priced at the rates current when we confirm them.
• Invoices live in the hub; card changes go through Stripe's secure portal.
• Refunds for unused sessions, and any package expiry, are as set out in your service agreement. Where it is silent, unused sessions are refundable at the per-session rate you paid, less any non-refundable assessment or setup fee it names.
• Prices can change for future purchases; a package you have already bought keeps its price.

The Sound Fitness app plan

The app plan is a monthly subscription billed through Stripe. It renews automatically each month until you cancel from the hub or Stripe's portal; cancelling stops future charges and access continues to the end of the period already paid. We may change the price with at least 30 days' notice by email; the change applies from your next renewal after that.

Your account

Keep your password and sign-in codes to yourself, use two-step sign-in if you can, and tell us at once if you think someone else has used your account. You are responsible for what happens under your login until you do. Give us accurate information and keep it current — our coaches rely on it.

Referral rewards

Your referral code is for people you personally recommend. Rewards are credited under the conditions shown in the hub when the person you referred completes the step those conditions name. Rewards have no cash value, cannot be transferred or sold, and may be withdrawn if a code is posted publicly, self-referred, or used in a way that is not a genuine recommendation.

Partners

Apartment communities, physicians' offices, employers and athletic organisations may refer people to us. A partner that referred you can see only your name, sessions completed, last session date and join date — never your health information, bookings, payments or messages. Partners are independent of Sound Fitness and any benefit they offer their own residents, patients or staff is theirs to honour.

Testimonials, photos and publishing

We publish a testimonial, before-and-after photos or your progress only when you have submitted them for that purpose or turned on the matching permission in your privacy preferences. You can ask to be shown by first name only, and you can withdraw permission at any time; we will take the content down within 14 days, though copies already printed or shared by others may persist.

Website, hub and content

The site, hub, app, guides and resources are for your personal use as a client or prospective client. Do not copy, resell or redistribute them, probe or overload our systems, or try to access another person's account. We may suspend access to protect the service or other clients. Third-party sites we link to are governed by their own terms.

Ending the relationship

You can stop at any time by closing your account in the hub or telling us; your service agreement says what happens to unused sessions. We may end or pause services if a session cannot be delivered safely, if payments fail, or if these terms are broken, and will refund unused prepaid sessions as your service agreement provides.

Liability

Exercise carries risk. The liability waiver in your signed service agreement sets out what you accept and what we are responsible for, and it controls. To the fullest extent Washington law allows, Sound Fitness LLC is not liable for indirect or consequential loss, and our total liability for any claim is limited to the amount you paid us in the 12 months before it arose. Nothing here limits liability that cannot be limited by law.

Governing law and changes

These terms are governed by the laws of the State of Washington, and disputes are resolved in the state or federal courts located in King County, Washington, after a good-faith attempt to sort things out directly. If we change these terms in a way that matters, we will update the date at the top and tell account holders by email before the change applies. Questions: Train@thesoundfitness.com.
